Orbiixa conducted a comprehensive operational study by closely working with warehouse supervisors, cold storage technicians, quality inspectors, procurement departments, fleet dispatch teams and financial controllers. Our team performed time motion analyses inside various temperature zones to understand movement limitations caused by cold environment handling. We documented every step of the warehouse workflow including inbound inspection, pallet breakdown, lot verification, labeling, putaway, replenishment, internal transfers, picking, packing, staging and dispatch. Based on this analysis Orbiixa created a fully layered Odoo architecture that supported multi warehouse operations with unique rules for each storage environment. Custom dashboards were built for warehouse managers showing key metrics such as inbound processing times, stock aging, temperature alerts, replenishment triggers, dispatch accuracy and productivity trends. Quality teams received a separate dashboard to review expiry alerts, rejected lots, temperature deviations and supplier performance. Procurement teams gained visibility into stock coverage levels, shrinkage patterns and vendor compliance performance. Orbiixa also implemented a real time handheld device interface for warehouse operators enabling them to perform scans, receive putaway suggestions, verify pick lists and capture dispatch confirmations without delays. Challenge

The client was one of the largest food distribution companies operating across multiple regions with dedicated cold storage facilities, cross docking terminals, refrigerated trucks and temperature controlled warehouses. Their operations handled high volume perishable goods including frozen products, dairy items, fresh produce, seafood, ready to cook foods and packaged consumables with strict shelf life requirements. The biggest challenge was maintaining accurate inventory visibility across multiple temperature zones and storage conditions while complying with safety regulations and expiry control standards. Their previous system lacked temperature based bin configurations which made it difficult to ensure products were stored in the correct zones. Inventory was updated manually which resulted in inaccuracies, frequent stockouts, hidden shrinkage and misplacements. Lot and batch tracking were not consistently maintained making it difficult to trace products during quality incidents or supplier audits. Order preparation teams struggled to manage dispatch workflows because picking routes were not optimized and cold storage zones required rapid handling to maintain temperature integrity. The company also experienced significant wastage due to improper FIFO and FEFO implementation causing expired products to remain unnoticed in lower visibility shelves. Warehouse supervisors lacked real time data to manage replenishment activities and could not identify bottlenecks in receiving, putaway or picking processes. The company needed a fully automated Odoo warehouse management system capable of supporting multi zone cold storage, strict compliance tracking, expiry alerts, optimized picking and comprehensive batch level traceability.

Solution

Orbiixa implemented a deeply customized Odoo based Warehouse and Inventory Optimization system tailored for the complexities of cold chain distribution. We began by designing temperature defined storage hierarchies that included freezer zones, chilled zones, controlled ambient racks, dry storage aisles, cross docking lanes and temporary quarantine bays for inspection. Each zone was configured with intelligent bin management rules to ensure products were always stored in compliant conditions. Advanced lot and batch tracking was deployed with full FEFO implementation ensuring items with shorter shelf life were always prioritized for dispatch. Orbiixa integrated Bluetooth and RFID based temperature monitoring sensors with Odoo enabling automatic logging of zone temperatures and generating alerts when thresholds were breached. Receiving workflows were restructured with barcode scanning to verify supplier lots, production dates, expiry dates and storage requirements. Putaway algorithms were developed to automatically suggest optimal bin placements based on product type, temperature requirements and movement frequency. Order preparation workflows were optimized using wave picking for large orders, batch picking for similar SKUs and zone picking for time sensitive cold storage retrievals. A custom dock management module was developed to streamline truck loading, staging, carton scanning and dispatch confirmations. Wastage reduction tools were introduced to track items nearing expiry with automated alerts for reallocation, discounting or urgent dispatch. The entire system was connected with Odoo Finance enabling cost allocation by product category, storage zone and vendor source. Everything was deployed on Krazio Cloud to support high availability and real time data synchronization.
