We mapped the complete guest journey from booking to check out including reservation handling, welcome experience, special requests, housekeeping interactions, dining experiences, spa visits, billing cycle, loyalty benefits and post stay feedback.Detailed workflow studies were conducted in housekeeping departments to optimize staff scheduling, room turnaround time, inspection cycles, quality checkpoints and maintenance request escalation. F and B operations were analyzed to design optimized menu management, combo packages, stock consumption mapping, cooking inventory synchronization and multi outlet billing. Spa and wellness departments were evaluated for resource planning, treatment durations, product usage and revenue integration.Based on these studies Orbiixa created a multi layer Odoo architecture that connected every department across all properties into one synchronized environment. A corporate command center dashboard was built for top management showing the performance of each property, comparative occupancy heatmaps, cross property revenue trends and operational efficiency indicators.Staff from all properties received extensive training including front office teams, restaurant staff, spa personnel, supervisors, administrators and accountants. Challenge

The client was a luxury hospitality group operating multiple hotels, beach resorts, business suites and serviced apartments across several international travel destinations. Each property managed thousands of guests annually, but the operational flow was heavily fragmented across separate systems for reservations, housekeeping, inventory, F and B operations, guest services, staff scheduling and financial reporting. There was no centralized guest database, causing repetitive onboarding processes and inconsistent guest experience across properties.The reservation team relied on a legacy booking system that frequently produced overbooking conflicts because real time room availability was not synchronized with OTAs and direct website bookings. Housekeeping supervisors had no digital tracking for room cleaning status, staff productivity, maintenance issues or linen consumption. F and B outlets across the chain handled orders manually which caused delays in billing and discrepancies in stock usage. Mini bar consumption was tracked on paper, leading to inaccurate revenue records and stock shortages.Corporate management lacked consolidated revenue dashboards that could show occupancy trends, revenue per room, cost of operations, guest satisfaction indicators, staff utilization and property wise profitability. The accounting department faced challenges reconciling room charges, F and B bills, spa services, event bookings and vendor expenses due to scattered data. The company needed a unified Odoo hospitality ERP that could automate reservations, housekeeping, restaurant operations, spa services, guest lifecycle management and financial consolidation across all their properties.

Solution

Orbiixa designed and implemented a comprehensive Odoo Hospitality Management System fully tailored to multi property environments. We integrated a central reservation module that synchronized real time availability, rate plans, seasonal pricing, promotions, corporate packages and OTA bookings into a single source of truth. A detailed room management module was created with room attributes, occupancy status, cleaning urgency, housekeeping schedules and maintenance alerts.Housekeeping teams received tablet based task lists that updated live based on check in and check out times, special requests and priority levels. For food and beverage operations, Orbiixa built a fully integrated POS that connected restaurant orders, bar sales, poolside service, room service and mini bar consumption directly into guest folios. Inventory automation ensured that every F and B order automatically updated stock levels and generated purchase requirements.A unified guest profile database was introduced tracking preferences, past stays, feedback, loyalty points, communication history and special occasions. Spa and wellness services were digitized with appointment scheduling, therapist allocation, package selection and direct billing to rooms. The financial consolidation engine integrated all property wise revenues, vendor costs, staff overtime, event bookings and operational expenses into one accounting environment on Odoo. Management dashboards displayed occupancy performance, ADR analysis, RevPAR metrics, department wise revenue splits, staff productivity indicators and cost control analytics.The entire system was deployed on Krazio Cloud ensuring high performance even during peak travel seasons.
